Life as an Agiloft Admin 

We sat down with Jake Hoskins, Lead Designer at Koho Consulting as well as certified and former full-time Agiloft administrator. With Jake’s unique experience of a full-time admin in the healthcare contracting space and the years he’s spent working through individual customer’s projects with Koho, he’s an expert on all things Agiloft. 

Agiloft’s capabilities are boundless, which might seem daunting for a first-time administrator, but Jake had a few key pieces of advice.  

“I had to start by really exploring the platform. I built test records, experimented in a sandbox, and just got comfortable with the way tables and workflows connect,” he said.  

He suggested the following:  

  • Experiment often: Set up a test environment or sandbox and start building things after you go through Agiloft University – it’s the best way to learn the system 
  • Start small: Tackle a minor enhancement or approval workflow first, and then build from there 
  • Be curious: Learn how Agiloft works foundationally, understanding databases and tables and how they connect will help you troubleshoot and build faster solutions  

Best practices for an Agiloft Admin 

Jake emphasized that being a good Agiloft administrator isn’t just about knowing the platform – it’s about understanding the people who use it.  

“Be patient with the users…a lot of times they don’t have a technical background, and they’re frustrated. If you’re patient and take the time to understand their real problem, it makes everything easier.”  

Jake suggested these best practices: 

  • “Always ask twice,” Jake advised. “A user might say, ‘I’d like to do this or that,’ but if you build it immediately, you may find out it’s not what they wanted or more than they needed. Taking a step back to clarify saves time and headaches”  
  • Just because you can, doesn’t mean you should: keep workflows simple unless you have a clear business reason to make them complex 

“Be patient and clear with users, even the biggest blockers start to feel like manageable road bumps,” is Jake’s philosophy.   

The Agiloft Admin advantage: Expanding your career 

Jake credited Agiloft with deepening his overall technical knowledge and giving him an edge on overall business operations,  

“Agiloft is a database of interrelated tables. Once you understand that, Agiloft gives you a foundation to understand other SaaS tools; you have a base knowledge that you can apply to others.”  

This led Jake to expand his former full-time Agiloft administrator role to become a system administrator for a number of additional solutions in their tech stack, before he returned to Koho Consulting. This is a perfect example of the knowledge transferability and career potential that you get with an extensive understanding of the Agiloft system. In fact, Jake’s career trajectory is reminiscent of Lori, from Educational Testing Service (ETS) for example, she was brand new to the contracting team when she was given the responsibility of the Agiloft rollout project. Now, Lori is the Operations Strategic Director for the entire organization.  

“Being an admin gives you exposure to so many areas – integrations with DocuSign or AdobeSign, SSO, other SaaS systems. You end up working closely with IT teams, legal teams, and operations. It’s like a networking opportunity built into your job,” Jake said. For those starting in a more technical role, they’ll expand their business knowledge and those on the business side they get valuable technical exposure. “It works both ways,” Jake notes. “You gain a broader understanding of how the company operates and where it’s headed, since these projects often come straight from the C-suite.”  

The future of AI in system administration 

The conversation turned to the future of contract management and how AI is being used in the SaaS world as a whole. “It’s interesting how different companies, like I’ve been exploring Salesforce, are building wrappers on top of these large language models. I’m excited to see where it goes.” Ultimately, he sees it as a big opportunity to keep learning and notes: 

  • Admins will increasingly work with AI tools, and use them to enhance already powerful workflows 
  • Understanding AI integrations and prompt-based automation is critical 
  • Staying curious and proactive about trends in AI will help admins stay relevant and informed as platforms evolve 

Final advice from Jake 

The role of the Agiloft admin role is more than a technical position – it’s a strategic bridge between technology, business processes, and overall company goals. As Jake’s experience shows, mastering the platform not only makes you indispensable to your team, but it can also fast-track your career.  

Jake’s last piece of advice was simple, but powerful.  

“Be patient, stay curious, and keep learning. The system will make sense with time but understanding the people using it is just as important. And don’t underestimate where this role can take you, it can open doors you didn’t even know existed.”
